This Refund & Cancellation Policy (“Policy”) applies to all Services offered by ConceptWrite Pvt. Ltd. (“ConceptWrite”, “Company”, “we”, “us”, or “our”) and forms part of, and should be read together with, our Terms & Conditions. Given the customised and time-sensitive nature of the Services, refunds and cancellations are handled as set out below.
1. General Principle
1.1 Because the Company's Services involve dedicated professional time, research, drafting, design, development, or campaign work performed specifically for each Client, Fees are, as a general rule, non-refundable once work has commenced on an Engagement, except as expressly provided in this Policy.
2. Refund-Eligible Circumstances
2.1 Subject to the exclusions in Clause 3, a refund may be considered in the following circumstances:
- a duplicate or erroneous payment has been made for the same Engagement;
- Once the Client has shared the project idea, requirements, or related information with ConceptWrite via email or any other written communication, and ConceptWrite has acknowledged or confirmed the project, the service shall be deemed initiated. From that point onward, any fees paid shall be non-refundable.
3. Non-Refundable Services and Circumstances
3.1 Except where the Company expressly agrees otherwise in writing, Fees are non-refundable once work has commenced, including in respect of the following:
- customised writing projects, including Research Paper Writing, Review Paper Writing, Academic & Technical Content Writing, and Business Content Writing, once drafting has begun;
- Proofreading & Editing Services, once the document has been reviewed or edited, in whole or in part;
- Publication Support Services fees, once a manuscript has been submitted to a journal, publisher, or conference (see Clause 4 below);
- Digital Marketing Services, once a campaign has been set up, launched, or ad spend has been committed or incurred;
- Website Design & Development and Website Maintenance work, once design, development, or maintenance activity has commenced;
- Podcast Production & Publishing Services, once recording, editing, or publishing work has commenced;
- any third-party costs already incurred on the Client's behalf, including publication fees, domain/hosting charges, stock assets, advertising spend, and payment gateway charges;
- any Service where the Deliverable has already been delivered to, and approved by, the Client.
4. Publication Support Services — Specific Terms
4.1 Once the Client has granted written approval for a journal or publisher and the submission process has commenced, the publication fees, service fees, and processing charges become non-refundable, regardless of the subsequent editorial outcome (including rejection, delay, or withdrawal requirements), unless otherwise expressly agreed by the Company in writing.
4.2 As set out in the Terms & Conditions, the journal or publisher selection cannot be changed once approved and the submission process has commenced, and no refund shall arise merely because the Client later wishes to change the selected journal or publisher.
5. Cancellation by the Client
5.1 A Client seeking to cancel an ongoing Engagement must provide written notice to the Company. The Client shall be liable to pay for all work performed, time expended, and costs incurred up to the date of such notice, calculated on a pro-rata or milestone basis as recorded in the applicable Order, and only the balance, if any, shall be considered for refund at the Company's discretion.
6. Cancellation by the Company
6.1 The Company reserves the right to decline, suspend, or cancel an Engagement at its discretion, including for non-payment, provision of unlawful or infringing material, or abusive conduct. Where the Company cancels an Engagement for reasons not attributable to the Client, a pro-rata refund for the undelivered portion of the Service shall be considered, at the Company's discretion, after deducting costs already incurred.
7. Revisions in Lieu of Refunds
7.1 Where a Deliverable does not meet the agreed scope of an Order, the Client's remedy is to request revisions within the revision rounds and timeframe specified in the Order. A request for a refund is not a substitute for, and does not override, the Client's obligation to first avail of the agreed revision process.
8. Chargebacks and Payment Disputes
8.1 The Client agrees to raise any billing concern directly with the Company before initiating a chargeback, dispute, or reversal with its bank, card issuer, or payment platform. An unauthorised or bad-faith chargeback in respect of Services that have been delivered or work that has commenced shall be treated as a breach of the Terms & Conditions, entitling the Company to recover the disputed amount, suspend or terminate ongoing and future Engagements, and pursue any other remedy available under Applicable Law.
9. Refund Process and Timelines
9.1 Approved refunds, where applicable, will be processed to the original mode of payment within a reasonable period, ordinarily seven (7) to fourteen (14) business days from the date of approval, subject to bank/payment gateway processing times. Payment gateway, PayPal, or other transaction charges are non-refundable and shall be deducted from any refund amount.
10. Force Majeure
10.1 Where performance of a Service is delayed or prevented by a Force Majeure Event as defined in the Terms & Conditions, no refund shall be due solely on account of such delay, provided the Company resumes performance within a reasonable time after the Force Majeure Event ceases.
11. Governing Law
11.1 This Policy is governed by the laws of India and subject to the exclusive jurisdiction of the courts at Hyderabad, Telangana, as set out in the Terms & Conditions.
